PPX – Learning Events Committee
Terms of Reference

PPX offers a series of learning events in Ottawa with the aim of providing an exchange of knowledge and experience in result management and on issues that are currently impacting results management practice. Thus, topics for events are developed from and around:

The events have an explicit aim of providing a forum for learning and exchange between the participants and presenters.
Mandate of the Learning Events Committee
The PPX Learning Events Committee is a standing committee of the Board of Directors that is responsible for developing a proposed series of events for the upcoming year, including who is responsible for each, for communicating the plan to the Board, and for ensuring the implementation of the agreed-upon series.
Membership and Term of Office
The Learning Events Committee will consist of up to six members of the PPX Board of Directors or regular members of PPX in good standing.
The Chair of the Committee will be a member of the PPX Board of Directors and selected by the PPX Board of Directors.
The members of the PPX Learning Events Committee will hold office at the pleasure of the Board of Directors for a two year term and until their successors are named or a resignation is received.
Meetings
The Committee shall meet at the call of the Chair or when so directed by the PPX Board of Directors.
Quorum
A quorum shall consist of the majority of the Committee members holding office at the time of the meeting.
Duties
In general,
a) To make recommendations to the PPX Board of Directors, and with the approval of the PPX Board of Directors, to take responsibility over all necessary matters for the successful delivery of the PPX Learning Program, and ensure that PPX Membership has access to interesting and up-to-date learning events and networking activities promoting the mandate of PPX.
b) The Committee aims to design and deliver a PPX Learning Program that provides members access to current issues and information related to planning and performance and networking opportunities. PPX learning events provide an opportunity for a high level of interaction and participation from attendees.
c) From a financial perspective, PPX events are presented in a very cost effective manner; the goal is to at least break even on these events, or run in a manner where revenue from fees is slightly higher than costs.
Specifically, the focused duties of the PPX Learning Committee are:
d) To plan, organize and make recommendations to the Council respecting the content, timing, content, pricing and cost of the PPX learning program including:

The PPX Breakfast series that are run monthly from September to November and January to April; |

Input to the PPX Annual Symposium (generally held in May) (as advice to the separate and distinct PPX Symposium Planning Committee) |

Special events and workshops that may be organized separately from the
Annual Conference; |
e) To secure a member of the PPX Board of Directors to play a lead role in the organization of specific events within the Learning Program, as approved by the PPX Board of Directors, and to interact with the respective Member of the PPX Board of Directors for the success of each event;
f) To select and recommend a location for these events, and to work through the Executive Director to make arrangements for the holding of these events and catering of these events;
g) To oversee and to implement communications and promotion of learning events including: PPX emails and website content related to learning events;
h) To prepare and submit budgets, financial reports and activities reports to the PPX Board of Directors;
i) To prepare and present a report to the Membership at each Annual General Meeting; and
j) To undertake any other duties with respect to PPX learning events which may be assigned by or agreed to by the PPX Board of Directors.
The Learning Events Committee works with the Executive Director (currently the Willow Group) for the implementation of all of its duties. With respect to the Learning Events, the Executive Director is specifically responsible for

arranging the facilities, sound and video equipment, food and beverages for each learning event |

posting the speakers’ materials on the PPX web site |
| • |
handling and recording attendance |
| • |
collecting and analysing the evaluation sheets |
| • |
facilitating any other administrative requests from the Board member responsible for the event |
| • |
liaising with PPX Session Champion / Session Speaker to obtain presentation in advance and identify any special needs on behalf of the speaker. |
