PPX – Outreach & Marketing Committee
Terms of Reference

Mandate
Expand the credibility and critical mass of PPX in the marketplace by creating formal and informal arrangements with other organizations in our market space.  These organizations may offer complementary or competitive services to PPX, or may represent groupings of our target audiences, or may be media partners.  This will increase awareness, attract and retain participants and new members of PPX.
Sample categories of other organizations:

Other associations (CES, CCAF, IIA, CMC, etc.)
Federal Government organizations (CSPS, etc.)
Provincial Governments
Municipal Government and FCM
Schools / Universities
Media Players (CGE, Optimum, journals, etc.)

Governance and Membership

Reports to PPX Board at every Board meeting (standing agenda item)
Chair (or co-chairs) (Board Member)
2 to 5 members (Board members or members-at-large)
Willow Group representative
Links with Learning Events committee for coordination / avoidance of conflict with guest speakers, topics, etc.
Links with Symposium committee for speaker ideas and cross-promotion of Symposium through other organizations
Links with Technology committee for innovative delivery mechanisms for reaching target audiences

Scope of Work / Responsibilities

Identify, contact and come to mutual agreement with other organizations to increase our audience reached.  This can include aspects such as sharing speakers, access to mailing lists, website links, cross-promotions, cross-registrations, media events, etc.
Increase reach of PPX to new or wider audiences through these other organizations
Work out any supporting logistical details with Willow Group
Work within the budget (costs and revenues) as directed by the Board
Identify and potentially use alternate forms of delivery to support these arrangements

Critical Success Factors

Personal contacts with some of these organizations
Help from Board in identifying organizations and using personal networks / connections to contact them
PPX has a sufficient value proposition to other organizations and vice versa, leading to an effective arrangements / agreements for mutual benefit
Cognizance of the relationship with the other party – to avoid competing with / cannibalizing each other’s audiences
Willow Group support for logistics, Internet capability, etc.

Indicators of Success

Number of agreements (formal or informal) to collaborate / cross promote
Increased audience reached by PPX messages
Increased attendance at Learning Events / Symposium coming from other organizations

Meetings

Bi-monthly, in advance of scheduled Board meetings
May be more frequent as required

Record of Decisions

Kept by Willow Group
Key decisions / requests will be brought up at the subsequent Board meeting under the standing agenda item for the Symposium
